The USPEH Framework

1

Before we onboard, we listen

Custom HubSpot onboarding is a fully tailored implementation service for businesses whose requirements go beyond a standard onboarding package — complex or multiple sales pipelines, several teams or business units, bespoke integrations, custom objects, or a migration from a heavily customised CRM. Instead of following a fixed checklist, we scope the engagement around your exact processes and build HubSpot to match them.

2-2

Every custom engagement follows five stages, scoped to your business

  1. Deep discovery — we map your sales, marketing and service processes end to end, audit your existing systems and data, and define what success looks like in 90 days.

  2. Solution design — you get a written implementation plan: data model, pipeline architecture, automation logic, integration approach and training schedule. Nothing is built until you've signed it off.

  3. Build and configure — we implement the portal hands-on: custom properties and objects, pipelines, workflows, routing, dashboards and integrations.

  4. Migrate and test — data is migrated in controlled stages with validation at each step, so nothing goes live until it's verified against your source system.

  5. Train and hand over — role-specific training per team, full documentation, and a 30/60/90-day optimisation plan so adoption continues after we step back.

3-3

Revenue first. Everything else can wait.

We design the build around commercial impact. Your highest‑priority stages, sequences, and automations go live first, so revenue teams can start working from HubSpot quickly.

We then decide which integrations, reports, and workflows need to be implemented now and which can wait, and map a delivery plan that gets your reps successfully selling in a unified system.

Every implementation decision is anchored to a single filter: does this help your team close deals faster?

Who needs custom onboarding instead of a standard package?

Custom onboarding is the right fit if any of these describe you:

  • Complex or non-linear sales process — multiple pipelines, long deal cycles, partner/reseller motions, or approval stages that standard deal setups can't model.

  • Multiple teams or business units — different regions, brands or departments that need separate pipelines, permissions and reporting inside one portal.

  • Bespoke integrations — your ERP, billing, booking or proprietary systems need to sync with HubSpot via API or middleware.

  • Custom objects and data models — you track things standard CRM objects don't cover (projects, properties, policies, subscriptions).

  • Migration from a heavily customised CRM — years of custom fields, objects and automations in Salesforce, Dynamics or Zoho that need thoughtful translation, not a flat import.

If your setup is straightforward — one team, one pipeline, standard tools — our Marketing Hub, Sales Hub or Service Hub onboarding packages will get you live faster and cost less.

Why does a tailored setup drive better adoption?

CRM projects fail on adoption, not features. When your team logs into a portal that mirrors how they already work — their stages, their language, their reports — they use it from day one. When they log into a generic setup, they work around it in spreadsheets.

A tailored implementation also compounds: clean custom data structures make your reporting trustworthy, trustworthy reporting drives management buy-in, and buy-in drives adoption. Clients who move from generic to tailored onboarding workflows report handling 30–40% more projects effectively with the same team.

Eli has been exceptionally engaging, taking the time to listen to our needs, understand our processes, and tailor HubSpot to a point that it truly works for us. Her ability to interpret complex requirements, translate them seamlessly into HubSpot, and ensure everything aligns with our processes has been invaluable.

Frequently Asked Questions

  • Custom onboarding is scoped per project. After a free scoping call, you receive a fixed proposal with deliverables and timeline.

  •  HubSpot's in-house onboarding is guidance: they advise, your team builds. Our custom onboarding is done-for-you: we design, build, migrate and train inside your portal, and you sign off a written plan before anything is configured.
  • Yes — that's the most common reason clients choose custom onboarding. We build integrations via native connectors, middleware, or the HubSpot API, depending on your systems. (Common integrations include — Xero, Stripe, Shopify, Cin7, Cognism, etc).

  •  Yes. Migration from your current CRM — including heavily customised Salesforce, Dynamics 365, Zoho or Keap portals — is scoped into the engagement.

  • You walk away with a documented system, a trained team, and a roadmap for the next quarter. We don't create dependency — the Handover stage is designed to make you fully self-sufficient. If you want ongoing support or optimisation after the initial engagement, we offer retainer options, but there's no obligation.
