How to create an invoice?

We can create and get almost the entire information for the invoice from already created quote by selecting Convert the quote to invoice .

If we do not have quote or want to create a brand new invoice the steps are:

  1. Go to Commers > Invoices

    • In your HubSpot account, navigate to the Commers menu in the main navigation bar.

    • Select Invoices.

  2. Click Create invoice

    • In the top right corner, click Create invoice.

  3. Select a Contact or Company

    • Choose the contact and company you want to associate the invoice with ( select what type of contact/company it is - New or Existing)

    • HubSpot will pull in their details automatically - if existing one.

  4. Add Invoice Details

    •  Invoice date, Due date and Invoice number are pulling automatically from HubSpot ( you need to change it manually if required)

    • Keep an eye on Payment terms. Usually we need to pick 30 NET ( invoice needs to be paid within 30 days), but changes might apply.
    • Fill in PO number if required.

  5. Add Line Items

    • Click Add line item to select existing products/services from your HubSpot product library, or create a custom line item.

    • Update the quantity, price, tax, or discount if needed.

  6. Review & Customise

    • Double-check all details, including billing information and totals.

    • Apply any discounts or notes for the client.

    • In the field 'Comments' place our payment details

  7. Create the invoice - In the top right corner.

    • Once ready, click Send invoice or download it.

    • Choose to send via email directly from HubSpot (there is no need to download it in this case), or copy the shareable link or download the invoice and send it via your company email.


      👀👍If we do not have a quote but we have sent the invoice for certain client in the past, we can Clone the old invoice and keep the information. We MUST update Due date, Payment terms, line item, quantity and amount.
